Propscribe AI Pty Ltd ("Propscribe", "we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, store, and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the New Zealand Privacy Act 2020.
1. Who We Are
Propscribe AI Pty Ltd is an Australian company providing AI-powered real estate copywriting tools to real estate agents across Australia and New Zealand. Our registered office is in New South Wales, Australia.

2. Information We Collect
We collect the following categories of personal information:
- Account information: Name, email address, and profile details provided when you register via Clerk authentication.
- Professional details: Agency name, phone number, agent email, and default writing tone entered in your Settings profile.
- Usage data: Listing content, tool inputs and outputs, generation counts, and feature usage patterns.
- Billing information: Payment method details processed and stored securely by Stripe. We do not store card numbers.
- Technical data: IP address, browser type, device identifiers, and session information collected automatically.
- Communications: Support conversations, feedback, and email correspondence.
3. How We Use Your Information
We use your personal information to:
- Provide, maintain, and improve the Propscribe platform and AI tools.
- Authenticate your identity and manage your account.
- Process subscription payments and manage billing.
- Send transactional emails (welcome, trial expiry, receipts).
- Send product updates and marketing communications (you may opt out at any time).
- Monitor usage to enforce fair-use limits and detect abuse.
- Improve our AI models using anonymised, aggregated content patterns (never personally identifiable).
- Comply with our legal obligations.
4. Legal Basis for Processing
We process your personal information on the following grounds:
- Contract: Processing necessary to deliver the services you have subscribed to.
- Legitimate interests: Fraud prevention, security monitoring, and product improvement.
- Consent: Marketing communications and non-essential cookies (you may withdraw consent at any time).
- Legal obligation: Retaining transaction records as required by Australian tax law.
5. Disclosure of Your Information
We do not sell your personal information. We share it only with trusted third-party service providers who process data on our behalf:
- Convex — cloud database (United States)
- Clerk — identity & authentication (United States)
- Stripe — payment processing (United States)
- Anthropic / OpenAI — AI content generation (United States). Inputs are processed but not retained for training.
- Resend — transactional email (United States)
- PostHog — product analytics (European Union / United States)
- Intercom — customer support (United States)
All third-party providers are bound by Data Processing Agreements and are required to maintain appropriate security standards.
6. International Data Transfers
As noted above, some of our service providers are located in the United States and European Union. Where personal information is transferred outside Australia or New Zealand, we ensure appropriate safeguards are in place, including standard contractual clauses and providers certified under applicable cross-border data transfer frameworks.
7. Data Retention
We retain your personal information for as long as your account remains active, plus 7 years thereafter to comply with Australian tax and financial record-keeping obligations.
When you delete your account, we permanently delete all your listings, tool outputs, and profile data from our systems within 30 days. Anonymised aggregate analytics data may be retained indefinitely.
8. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or outdated information via Settings.
- Delete your account and all associated data via Settings → Delete Account.
- Object to marketing communications by clicking "Unsubscribe" in any email.
- Withdraw consent for non-essential cookies via our Cookie Settings.
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or the New Zealand Privacy Commissioner at privacy.org.nz.

9. Security
We implement industry-standard security measures including encryption in transit (TLS 1.2+), encryption at rest, access controls, and regular security assessments. However, no system is completely secure and we cannot guarantee absolute security.
In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and the OAIC as required by the Notifiable Data Breaches (NDB) scheme.

11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice on the platform. Continued use of Propscribe after the effective date constitutes acceptance of the updated policy.
